Features

Every job of a finance team.Done as the money moves.

Eight chapters, one ledger, and a screen in each to try: read an invoice, write a rule, spread a contract, run the bills, see what moved, consolidate three companies, check sales tax and call the API. Each screen says whether it is live today or on the roadmap.

52 live today. 11 on the roadmap, and marked that way.

What it means

Twelve months paid up front is an asset, not a cost.

Booked to prepaid expenses and expensed at $1,200.00 a month from October. Paid on Oct 12, not the day it arrived.

AccountDebitCredit
1300Prepaid expenses$14,400.00
2000Accounts payable$14,400.00
Read, then matched
A receipt finds the charge it belongs to, and nothing new is posted. A bill’s vendor, date and total are filled in for you to check before it is entered.
Counted once
A transfer between two of your banks is one movement, not two costs. A statement uploaded before the feed was connected is not a second copy.
Evidence kept
Every line keeps what the bank printed, verbatim, next to what was decided about it. The receipt is stored with the entry, not in a folder.

LedgerIt + Slack

Do your books without signing in.

When a card charge comes in without a receipt, LedgerIt asks the person who made it, in the chat they already have open. They add the memo and the receipt from the message, and the books never wait on a login. On WhatsApp today, in Slack next.

Rules first. A model for the rest. You for what is material.

A rule is free, instant and the same every time, so rules go first. A model files what no rule covers, and waits for you when it is unsure or the amount is large.

Waiting for a person62

Rules you can read
Written in words, matched on what the bank printed with the noise taken out. Three consistent decisions about a merchant become a rule you can see and edit.
Two gates, not one
Confidence and materiality are separate. A model 99% sure about a $400,000 wire still waits for a person.
Measured, not assumed
Every proposal is kept, overruled ones included, so how often the model agrees with you on your books is a number, not a claim.

03Close

The month closes on the first.

Deferred revenue and prepaid expenses run on schedules that post at the close, and a bill that has not come in is accrued in one click. The close compares each bank and card account with its statement, then locks the month so nothing moves under a board deck.

Schedules to the day
A contract that starts on the 17th earns 14 days in its first month, not a whole one. Daily proration is the default, because billing dates are.
Locked, and says so
A closed month refuses new entries in the database itself. Reopening one is deliberate, and on the record.
Nothing left hanging
An unreconciled account blocks the close. Closing anyway is an override with your name on it.

04Pay and get paid

Every bill approved. Every invoice followed up.

Bills arrive at their own address and wait for an owner, an admin or a member within their limit to approve them. Customer invoices go out with reminders until they are paid. Paying bills from LedgerIt on their due date is on the way.

Bank details checked first
A vendor’s bank details are verified before a payment can use them. Holding a repeated invoice number, with the reason in plain words, is on the way.
Approval by amount and role
Owners and admins approve any payment, and a member up to their limit. Each approval is for one payment exactly, and kept on it.
Cash stays at work
With bill pay, which is on the way, a bill is paid on its due date rather than the day it arrives, so the money stays in treasury longer.

05Report and plan

Numbers that explain themselves.

Statements, the board pack and cash, burn and runway come straight from the ledger. Every figure opens to the entries behind it, and before the close every account far from its usual month says what moved it.

3 of 8 lines to explain. Open one to read its draft.

What moved, and why
Every account more than half and $2,000 off its usual month, with up to three things that moved it, each read from the entries.
Metrics from the books
MRR and ARR from recognized revenue, not a payments dashboard, beside cash, burn, runway and gross margin. Net revenue retention and burn multiple are on the way.
A board pack with every close
The three statements, cash, burn, runway, MRR and your commentary, as a PDF, or a read-only link for each investor.

06Entities and currencies

Three companies. Three currencies. One group.

Each entity keeps its own books in its own currency. The group is a report that reads each ledger in turn, translates it and removes what the companies billed each other.

Group income statement · SeptemberLive
  • Northwind Labs IncUSD$182,400.00−$221,880.00
  • Northwind Labs LtdGBP · £1 = $1.27$48,260.00£38,000.00$8,318.50
  • Northwind Labs GmbHEUR · €1 = $1.10$13,530.00€12,300.00−$10,604.00
  • IntercompanyLtd’s engineering charge to Inc−$48,260.00$0.00
  • Northwind group$195,930.00−$224,165.50

The £38,000.00 Ltd billed Inc ($48,260.00) is taken out of both revenue and expenses. Net income does not change; revenue stops counting the group twice.

Separate books, always
No shared ledger with a column saying whose line it is. An entity is one set of books, and a person reaches it through their role in it.
Rates on the record
Income statements translate at the month’s average rate, balances at the closing rate, and the rate used sits beside every translated figure.
Intercompany, in both books
A charge from one entity to another posts in both sets of books at once and is eliminated, so the group never reports revenue it earned from itself.

07Tax

1099s tracked today. The rest of tax is on the way.

Today the books show who needs a 1099, ask a vendor for a missing W-9 by a link they sign, and add up the year by Form 1120 line for your CPA. Sales tax by state, Delaware franchise tax and the R&D credit are on the way.

One API, not two
The app calls the same endpoints an agent does. If a screen can do it, the API can.
Safe to retry
Every write takes an idempotency key, so a request replayed after a timeout never posts a second entry.
The database has the last word
An entry that does not balance, a line in another company’s account, a post into a closed month: refused by Postgres, whoever sent it.

  • Live

    Bank and card feeds

Mercury, Brex and Ramp behind one shape. Cards become liabilities and bank accounts assets, on their own.

  • Live

    Stripe as a subledger

Charges, fees, refunds and payouts posted separately, so revenue is gross and fees sit in cost of revenue.

  • Live

    Payroll from Gusto and Deel

Posted gross and split by function, which is what makes the R&D credit computable.

  • Live

    Statement upload

Any bank’s CSV, any header row. Deduplicated against the feed when it is connected later.

  • Live

    Receipts from card providers

Brex and Ramp receipts stored with the entry, including ones uploaded days after the charge.

  • Live

    Transfer matching

Money moving between your own accounts posts once. An ambiguous pair waits for a person.

  • Live

    Pending charges

Authorisations kept as holds, retired by the settled charge, and expired on the record after 14 days.

  • Live

    Addresses for receipts and bills

Receipts forwarded to one address are read and matched to their charge. Bills emailed to another are read and wait for you to enter them.

  • Live

    Document reading

Vendor, number, dates, lines and totals read off a bill or receipt. A receipt is matched to the charge it belongs to.

  • Live

    Receipts from WhatsApp

Send a receipt photo or ask the assistant from WhatsApp. A card charge without a receipt is asked about there.

  • On the roadmap

  • Live

    Memory of how you operate

An answer to a question is kept as a rule in your words, and the same question is never asked twice. A cardholder named once stays named.

  • Live

A payout that is revenue less fees posts as three lines, not one net figure.

  • Live
